The HAZOX Client/Server Environmental Management System (EMS) provides the ability to scan, store and retrieve Material Safety Data Sheets (MSDS) as image documents. This option has many potential uses:
· internal access to vendor MSDSs
· distribution of third-party MSDSs to customers
· MSDSs that were created prior to the implementation of the HAZOX system
· MSDSs that are professionally typeset.
Any TIFF (Tagged Image File Format) file can be imported into the EMS database as an MSDS. If you have a TWAIN-compliant image scanning package (most popular packages are), you can scan the MSDSs directly from EMS menus.
Before you attempt to use the scanning interface, be sure your scanning software is operational and the scanner is turned on before you boot the client PC. To scan a new image MSDS into the EMS database, do the following:
1. File > MSDS Author > Find
2. Edit > New > OK
3. Enter the MSDS ID, Chemical Name and Manufacturer Name.
4. Select the appropriate Language.
5. Click OK.
6. At this point, the TWAIN interface will take over. Follow the normal procedures for scanning the document.
7. When scanning is complete, control will be returned to EMS. You will be asked if you want to scan more pages. Since you probably already scanned all the pages for the MSDS in the scanning software, you will probably decline to do so.
8. The image will display. Click the X in the upper right corner once you are satisfied with the image.
9. The Save dialog will appear. Make the appropriate selection.
Steps to scan a new version of an MSDS that is already in the EMS database:
1. File > MSDS Author
2. Enter the appropriate search parameter(s) and click Find.
3. Click to select the existing image MSDS.
4. Select Edit > Update Image MSDS.
5. Modify the MSDS Properties as needed; click OK.
6. Follow steps 6 to 9 above to scan and save the MSDS.
In order to send an image MSDS through MSDS Dispatch, it should have a Product record with a stock number and an MSDS ID, and a check-mark next to “Active Number”.
